Document Verification Checklist for JoSAA & CSAB 2026

Every year, candidates lose confirmed seats due to wrong certificate formats, missing signatures, or outdated OBC-NCL certificates. This checklist makes sure that never happens to you.

Document verification is the final gate between your JoSAA seat allotment and your actual enrollment. JoSAA verifies documents online through a Reporting Centre (RC) system, and officials can — and do — reject documents that have even minor format errors. A rejection triggers a 24-hour fix window; miss it and your seat is cancelled permanently.

This guide tells you exactly what each document must look like, what the common mistakes are, and how to fix them before the deadline hits.

1. The Master Document Checklist

2. The Category Certificate Trap (OBC-NCL & EWS)

This is the single most common reason for seat cancellations at JoSAA. There are two different OBC lists in India: the State OBC list and the Central List of OBCs. JoSAA only recognizes candidates from the Central List (OBC-NCL). Just because your caste/community is listed in your state's OBC category does NOT mean you are in the Central OBC-NCL list.

How to Verify Your Certificate is Correct

  • The certificate must be issued in the Central Government format — not the state government format.
  • It must explicitly state: "The caste/community is in the Central List of OBCs vide Resolution No. [X]"
  • It must be issued by an SDM (Sub-Divisional Magistrate) or equivalent or higher-ranked officer.
  • It must state that the candidate does NOT belong to the Creamy Layer.
  • It must be issued on or after April 1st of the current academic year (i.e., after April 1, 2026 for the 2026-27 admission). Certificates from previous years are rejected.

EWS (Economically Weaker Section) Certificate

  • Family income must be below ₹8 LPA from all sources.
  • Certificate must be issued by a Tahsildar / SDM or equivalent.
  • Must be issued in the financial year 2025-26 (not before April 1, 2025).
  • Must explicitly state EWS eligibility as per the Central Government gazette notification of January 2019.

3. Medical Certificate: What It Must Say

The Medical Fitness Certificate must be printed on the doctor's official letterhead and contain all of the following:

  • Doctor's full name, specialization, registration number (from Medical Council of India or State Medical Council)
  • Hospital name and address
  • A statement that the candidate is "medically fit to pursue professional engineering education"
  • Date of examination and the doctor's signature with stamp

Note: Some IITs conduct their own medical examination upon joining. The JoSAA medical certificate is just a preliminary eligibility check — it doesn't exempt you from the institute's own medical screening.

4. State of Eligibility Certificate

For NIT Home State (HS) quota seats, you need to prove your State of Eligibility (SoE). This is determined by where you passed Class 12 — not where you were born or where you live.

  • If you passed Class 12 from a school in Tamil Nadu, your SoE is Tamil Nadu. You qualify for HS quota at NITs/IIITs in Tamil Nadu.
  • If you studied in a central government school (KVS, NVS, SAI schools) or a CBSE school with an All-India domicile, your SoE is determined differently — you are typically treated as an Other State (OS) candidate for all NITs.
  • JoSAA verifies this through your Class 12 Board registration data. You may also need to provide a SoE declaration form if the portal flags a mismatch.

5. What Happens If Your Document is Rejected?

If a verification officer rejects a document at a Reporting Centre (or during online verification), here's exactly what happens:

  1. You receive a notification on the JoSAA portal and (usually) an SMS alert.
  2. You have a fixed window (typically 24–48 hours) to upload a corrected document.
  3. If you cannot fix it in time and your category document is wrong, your category claim is rejected — you may still be allotted a seat under General (Open) category if your rank allows.
  4. If your core eligibility documents (Class 12 marks, JEE rank card) are rejected and you cannot provide corrected versions, your seat allotment is cancelled with no refund of document fee.

Prevention is infinitely better than cure here. Get all documents verified by a trusted person (a teacher, a school counsellor, or an experienced JoSAA veteran in your family) well before counselling begins.

6. Pre-Counselling Action Plan (Do This Now)

  • ✅ Download all documents and put them in a single folder on your device and on Google Drive.
  • ✅ Check your OBC/EWS certificate issue date — if it predates April 1, 2026, get a fresh one now.
  • ✅ Verify your OBC certificate explicitly mentions "Central List" — if it doesn't, apply for the correct one immediately.
  • ✅ Get your medical fitness certificate from a registered government doctor with their MCI registration number.
  • ✅ Ensure your photo is recent, white background, and taken in the last 6 months.
  • ✅ Scan all documents at minimum 200 DPI in PDF or high-quality JPG format.
  • ✅ Check file sizes — JoSAA typically limits uploads to 100KB–300KB per file. Compress if needed using tools like ilovepdf.com.
